Job Summary:
- Acts as the primary administrative support for the Legal Section’s operations in the Mandaluyong Sales Office. Provides direct clerical and paralegal assistance to the Legal Section in Mandaluyong.
Job Responsibilities
- Maintains and updates the Notarial Register of the assigned Commissioned Notary Public (NCR Lawyer) in strict accordance with the 2004 Rules on Notarial Practice.
- Ensures all notarized documents have the correct Series, Page, and Book numbers and valid Competent Evidence of Identity details.
- Consolidates and arranges notarized documents for the monthly submission of the Notarial Report to the Office of the Clerk of Court (OCC).
- Handles the physical securing of the Notarial Seal and Register when not in use.
- Organizes and maintains the physical and digital filing system for the Sales Office.
- Receives, logs, and routes incoming legal documents, summons, or notices served to the Mandaluyong office.
- Ensures the secure storage of confidential contracts, dealer agreements, and labor case files located in the Sales Office.
- Assists in drafting basic correspondences, certifications, and affidavits.
- Acts as the Liaison Officer for filing and retrieval of documents with government agencies in Metro Manila (e.g., SEC, DOLE, NLRC, Trial Courts).
- Acts as the primary custodian for all physical contracts, dealer agreements, and lease contracts stored in the Sales Office.
- Coordinates with Head Office to ensure that digital copies or duplicates of NCR‑based contracts are synced with the central repository.
- Ensures the physical security of contracts, restricting access only to authorized personnel.
- Perform other related duties that may be assigned from time to time by his/her immediate superior.
Qualifications:
- Bachelor’s Degree in Legal Management, Political Science, Office Administration, or a related course.
- At least 1 to 2 years of work experience in a law firm or corporate legal department.
- Specific experience in handling Notarial Books and Reports is highly preferred.
- Experience in liaison work with Metro Manila courts and government agencies is an advantage.
- Paralegal training or certification is a distinct advantage.

- Must be willing to work onsite at Greenfield District, Mandaluyong City.
