Document Control Coordinator

Job Summary:

The Document Control Coordinator is responsible for managing and controlling IMS-related documents and records. The role supports Environmental, Social & Governance (ESG), Integrated Management System (IMS), and Health Section activities, ensuring proper documentation flow, compliance, and information security.

Key Responsibilities:

  • Oversee creation, organization, and maintenance of IMS documents and records.
  • Develop and implement document control procedures to ensure consistent handling across departments.
  • Register IMS documents in the Document Management System and reproduce controlled copies when needed.
  • Distribute and properly file controlled documents in accordance with company procedures.
  • Safeguard confidential documents and ensure proper security and access control.
  • Facilitate monthly IMS Documentation Committee meetings.
  • Monitor Environmental Aspect & Impact (EAI) and Hazard Identification, Risk Assessment & Determination of Control (HIRADC) documentation.
  • Support risk management and assist in ISO-related information dissemination.
  • Request office supplies and maintain inventory for ESG, IMS, and Health sections.
  • Monitor fixed assets and act as custodian for ESG, IMS, and Health.
  • Promote 7S practices and best record‑management standards.
  • Perform other tasks related to ESG, IMS, and Health as required.

Job Qualifications:

  • Graduate of any four‑year course or equivalent.
  • At least 2–3 years of experience in document control and records management.
  • Knowledge of ISO documentation, records lifecycle management, and risk management.
  • Familiarity with auditing processes and SharePoint.
  • Experience with ISO standards such as ISO 9001, ISO 14001, and ISO 45001 is an advantage.
  • Proficient in MS Excel (Pivot Tables, VLOOKUP/XLOOKUP).
  • Strong organizational, documentation, and coordination skills.
  • Ability to handle multiple tasks accurately and meet deadlines.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and customer‑service orientation.
  • Ability to work independently and maintain confidentiality.
  • Willing to be assigned at the LIMA, Malvar, Batangas office.
