Job Responsibilities:
- Oversee the documentation and records management process related to IMS.
- Support ESG and IMS activities and programs.
- Register and reproduce documents as necessary per the distribution list.
- Distribute controlled copies of documents and retrieve obsolete versions.
- Ensure that confidential documents are securely managed and controlled.
- Assist record generators with filing, storing, archiving, and proper disposal of records.
- Help document originators enhance or improve their documents.
- Conduct document and record audits for compliance with procedures, providing feedback for improvements.
- Hold monthly meetings with appointed document custodians to assist with documented information processes.
- Evaluate appointed document custodians quarterly based on criteria set by the Document Control Coordinator.
- Support risk management activities within the organization.
- Promote 7S methodology and best practices in records management.
- Ensure compliance with approved documents and standards.
- Assist in disseminating information related to ISO standards and participate in quality, environmental, and safety-related activities.
- Perform other duties related to ESG and IMS as necessary.
Job Qualifications:
- College graduate of any four-year course or equivalent.
- At least 2-3 years of work experience in document control and records management.
- Familiarity with ISO standards such as ISO 9001, ISO 14001, and ISO 45001.
- Trained as a Documented Information Controller.
- Excellent organizational and communication skills with the ability to collaborate with stakeholders at all levels.
- Knowledge of document and record control practices and principles in a manufacturing environment and records life cycle management from creation to disposal.
- Understanding of risk management processes.
- Knowledge of auditing processes is an advantage.
- Willing to be assigned in Madaluyong City Metro Manila
